Email

The Email block allows you to format and send an email to a linked audience.

 
Terms
Before you can send an e-mail, at least one target group must be available. You can select this target group via a Target, Leads, Website clicks or Webhook block on the flow chart.
 

Add email block

Drag and drop the Email block from the category Choose channel in the menu to the worksheet. Connect the Email block to one or more target group blocks.


Double-click on the block or use the context menu (three dots > Settings) to open the editor.


A home screen appears with three steps to help you set up your e-mail.
  • Target - shows the linked target group

  • Select template - select a template and associated corporate identity.
    If you want to work with your own HTML code select 'Don't use a template'.

  • Sender - Set the sender, subject line and optionally the preheader.
    You can have both the subject and the preheader generated by the AI Assistant. You do this by clicking on the AI icon next to the topic or preheader.

Click the button Create email to get into the editor.
It is also possible to skip the above steps or modify them later. In that case, press the "Create email" button directly.

Email editor

If you clicked the "Create Email" button, the left side the e-mail displayed. To the right side you will find the menu and its settings.

Overview of the editor

The editor consists of several parts.

At the top left of your screen you will see the title of the block (default: Email). Click the pen icon next to the name to edit the title.

Advanced mode

At the top right of your screen you will find the Advanced Mode switch for additional menu items and functionality.

Editor

On the left side of your screen you have the editor where you format the e-mail.

On the right side of your screen you will find the drop-down menu with additional options.

 

Menu items

The menu contains various items that allow you to set up and manage e-mail. Which menu items are visible depends on whether the Advanced mode is enabled.

Select or view the sender information (target audience, sender, subject and optionally the preheader).

Format the e-mail.

Mapping

Map the fields you want to use in your email.

Contacts

Record if and when a contact moment is recorded after transmission. (Visible only in Advanced mode).

Set up A/B testing to test variants of your email. (Visible only in Advanced mode).

Preview & test

Review and test your e-mail.

Settings

Configure advanced options such as slur, attachment and honeypot. (Visible only in Advanced mode).

 
By default, only icons are shown. Clicking on the drop-down icon shows the detailed view.

When you select a menu item, the icon turns green. This allows you to see at a glance which tab you are active on.
The target icon is always blue.

Near the icons you will see a red or green ball.
The red bullet indicates that action is still required.

The green bullet indicates that everything is set correctly.

Advanced mode

When Advanced mode is disabled, are only available:
  • Choose recipients

  • Content editor

  • Mapping

  • Preview & Testing


When Advanced mode is enabled, these additional options become visible:
  • Contacts

  • A/B testing

  • Settings


In addition, you can use the block save as block template. Next to the button Save three dots appear that allow you to open an additional option to save the block as a template.


Error messages and warnings

In the center of the screen you will see two icons.

  • Error message: afzender, HTML of hyperlinks ontbreken – je kan not previewen, testen of versturen

  • Warning: newsletter can be sent, but contains aandachtspunten


You can view the errors and warnings by clicking on the down arrow icon. Checking the checkbox next to the error or alert will take you to that error or alert.


Drafting email

Afzender

In the upper left corner of the screen, you can see the Sender fill in or modify. This information becomes visible when you click in the menu on the icon 'Choose recipients' klikt of op het pijltje naast ‘Afzender’ in het linkerpaneel.

Field

Description

Target

The target audience to whom the email is sent.

Afzender

The sender profile used to send the e-mail.

Subject line

The title of your email that recipients see in their inbox. You can have the subject generated by the AI assistant. You do this by clicking on the AI icon next to the subject.

Preheader

The short text displayed in the inbox immediately after (or below) the subject line of an email. You can have the preheader generated by the AI assistant. You do this by clicking on the AI icon next to the preheader.


Content Editor

In the Content Editor compose the content and formatting of the e-mail.


These are the options available in the Content Editor.

Corporate identity

Select the visual style of the email. The selected house style is applied to the templates or snippets.

House styles can be added and managed in the General Settings.

Templates

Select a template.

Use the eye-icon to preview the template.

To the globe-icon you can recognize if it is a global template. Use the search function to quickly find the right template.

HTML

Add HTML code, or review and edit existing HTML code.

Snippets

Add reusable content blocks such as text, images and logos.

Use the eye-icon to preview the snippet.

To the globe-icon you can recognize if it is a global snippet. Use the search function to quickly find the right snippet.

Saved content blocks

Add user-specific content to the email. This option is only available in Advanced mode.

Block & personalization

Edit your (personalized) content.

Select a block on the left (this will be marked with a blue border) and then adjust the (personalized) content on the right.

Media

Add images or other media files to the email and manage the media within your email.

RSS

Pair a RSS feed to the e-mail to carmatically retrieve current content.

Hyperlinks

Manage and add hyperlinks to the email. Provide a tag and/or tracker for each hyperlink. By clicking on the button 'Apply wildcards' all configured wildcards (hyperlinks/tags/statistics) are applied to the content of the email block. Wildcards can be set in the General Settings.

 

Saved content blocks

A saved content block is a reusable part of an e-mail that has already been provided with content.
Usually, a snippet is the basis for a saved content block. After you have customized a snippet with, for example, your own text, images or personalizations, you can save this version as 'Saved content block'. The block is then immediately available for use in other mailings, so you don't have to create the same content over and over again.


Save content block
Once you have edited a block and want to save it as 'Saved block', select the relevant block and click on the diskette icon in the 'Blok & Personalization'.


A window opens where you can enter and save the details of the content block.


Option

Description

Name

The name under which the content block is displayed in the overview.

Description

A brief explanation of the content or intended use of the block.

Retention

The retention period determines how long a content block remains available in the overview. Once the set date has passed, the content block disappears from Saved Content Blocks and can no longer be applied in an email.

Tags

Optionally add additional information to block.


Save the changes via Save and close.
The block is kept for a period of time from that point on (retention period) and can be found under Saved content blocks.

Saved content blocks
In the Content editor, go to the ''Saved content blocks'.


Two sections are shown here:
  • Recently used - The content blocks most recently applied in an email.

  • Saved content blocks - the complete overview of all saved blocks.

Through the search bar at the top, it is possible to quickly find the right content block by searching by name or tag.

Icons per content block
Next to each saved content block in the overview are three icons:

Option

Description

Triangle icon

Indicates that the retention period is about to expire. Adjust the retention via the gear icon to prevent the block from disappearing from the overview.

Gear icon

Opens the settings window where content block properties can be adjusted.

Eye icon

Displays a preview of the content block so that the content can be checked before being applied in an email.


Personalization

The more personal your e-mail, the more attention you attract. You can show personal information and specific content per user.

Setting personalizations
Click on a content block and choose the "eye" from the menu to add personalization.
Next, decide how many variations you want to make.


Set per block
  • Select what you personalize

  • Set the condition in (e.g. equals, contains, is in list)

  • Fill the value in (e.g. yes/no, language or number)

 

Edit content
  • Select the content block and edit the text

  • Use the left arrow to switch between variants. Repeat until all variants are completed


Mapping

All the fields you want to use in the email must be on the Mapping are selected (mapped).


In the left column 'Content Variables' you see all the fields to be mapped. In the right column 'Mapping Fields' you see all the available fields to choose from. These are taken from the Targetblok that was created in the Target Manager and is associated with this Email Block. If any fields are missing, adjust the mapping in the Target Block within the Target Manager.
You can link fields by:
  • het Automap fields-icon to use, or

  • drag a field from the right column to the corresponding field in the left column.



Note:
  • As long as there geen target group is linked, is Mapping not available.

  • Does the message "No fields found" appear? Then check that your template contains variables and that the target group is linked correctly.

 

Contacts

In the Contacts tab you define if and when a contact moment is registered after sending. You can select these contacts from a selection block in the Targeting Manager under the "Campaign Information" resource.


Turn on the switch to record contact moments.
Select a channel for registering your contacts
Choose a contact date.
  • bovine date (the date the block is executed)

  • beef date + (a few days after the run)

  • fixed date (on a specific, self-set date).


Notice: This menu item is visible only when the Advanced mode is enabled.

A/B Testen

With A/B Testen send different variants of your e-mail to a subset of your target audience to determine which variant performs best.


Use the options below to apply A/B testing.

Set what percentage of the target audience receives the test versions and how many segments.

Ultimate shipment

Determine the winner based on a criterion (e.g. Number of openers) after a set number of hours/minutes/days.

Send the rest

Set how much time after determining the winner the rest of the target audience will receive the winning variant.

 
Notice: This menu item is visible only when the Advanced mode is enabled.

Preview & test

Before sending the email, you can view and test it under Preview & test.


View email
On the left side of the screen, you will see a preview of the email. Click on the Desktop- whether Mobile-icon to switch between views.


On the right side, you can select a record to see what the personalized e-mail looks like. You can click multiple records to see different variants.

Note: when there is no Mapping is set, a non-personalized e-mail is displayed.
 
Email testing
You can also send a test e-mail to one or more e-mail addresses. Here you can optionally use a custom subject.



Below the table of test variants you will find the following options:
  • Renew data - load the latest data

    • Note: when reopening an existing e-mail block, previously saved data is shown. Click on refresh to see current data

  • Show number of rows - choose between 10, 20 or 30 records

  • Show random data - load random records


Select one or more records and click the button Send To send the test mail.
 

Settings

In the Settings tab you will find advanced options divided into four sections.


Attachment
Send carmatic An e-mail or SMS after the e-mail is sent.


Slurp
Switch slurpen in to ensure that Ternair hosts all your images. Click on +Exceptions to add exceptions. This means that Ternair will not host these exceptions.


List-Unsubscribe
If an e-mail transactional is, the list-unsubscribe headers with no value included in the e-mail. If the e-mail is not transactional and the list-unsubscribe header contains variables, then they must be provided with a value below. Reserved variables, such as TID, are filled in carmatically.


Honeypot
Activate Honeypot for additional spam protection. A honeypot link is a fake link in an e-mail that only bots click on. This allows you to identify and remove bot traffic from your click data.


Notice: This menu item is visible only when the Advanced mode is enabled.

Apply/save/cancel

Use the options below to save your changes.

Option

Save the settings without closing the editor.

Save the settings and close the editor.

If "Advanced Mode" is enabled, you can also save the block as a template by clicking on the three dots.

Cancel

Close the editor without saving any changes.



Run email block

Once you have saved the Email block, you can start it in two ways:
  • Go to the Email block, right-click and choose Execute. The e-mail transmission is then activated. A one-minute countdown timer appears after which the e-mail is sent.

  • Connect the Email block by drawing a line to a Schedule-block.



Open e-mail block

To open an existing Email block, double-click the block or click the three dots top right in the block.


The context menu contains the following options:
